Running a Community Health Center isn't for the faint of heart. Trust me, I've been there - watching federal funding cliffs loom like storm clouds on the horizon, wondering how to keep our doors open for the communities who need us most. 🌩️

 

As a former Health Center CEO, I learned a crucial lesson: diversifying revenue streams isn't just smart - it's survival. And one of the most overlooked goldmines? Tackling your no-show rate.

 

Let's get real: if your no-show rate is above 12%, you're leaving money on the table. But here's the good news - you can fix it.

 

Here are five battle-tested strategies that transformed our health center's operations:

  1. Timely Access to Care: Think weeks-out appointments are normal? Think again. Every day between scheduling and service is another chance for a no-show. Speed up access, and watch your attendance soar.

  2. Walk-Ins are Critical: You can't have a no-show if there's no appointment to miss! 🤯 Opening your doors to walk-ins isn't just patient-friendly - it's smart business. Yes, even for behavioral health!

  3. Strategic Double-Booking: Use your team's insight! When pre-visit planning flags a likely no-show, don't let that slot go to waste. Double-book strategically - a slightly delayed schedule beats an empty chair any day.

  4. Problem-Solve with Patients: Sometimes, a no-show isn't about forgetting - it's about barriers. Our case managers became transportation coordinators, resource connectors, and problem-solvers. The result? Patients who felt supported showed up more.

  5. Reminders, Reminders, Reminders! In our digital age, there's no excuse for forgotten appointments. Text, call, email - use every tool in your arsenal. That morning confirmation call? Pure gold. 💎

 

Here are 5 ways you can implement these strategies:

  1. Have a no-show policy and stick to it. If you have repeat offenders and you've done everything possible to help them attend their appointment, put them on "walk-ins only" for a certain period of time (6 months, 1 year).

  2. Offer more telehealth options. Increase the number of telehealth visits in a day. Better yet, have a telehealth "walk-in" queue that people can be in so they don't have to leave work to attend an appointment.

  3. Provide transportation. Transportation vouchers are helpful, but having dedicated health center transportation is ideal. Not only will you provide better access to care, your patients will get to know your staff on the car ride, and that creates more of that "know, like and trust" factor.

  4. Invest in a good reminder system that allows you to send reminders across all platforms (text, call and email). Make sure it gives the person the option to cancel the appointment, and have a system for filling that canceled visit.

  5. Monitor your wait times to be seen by the provider. If your patients are waiting more than 3 weeks to be seen, you should start the process of recruiting and hiring another provider.
